We are currently searching for a Studio Coordinator/Executive Support role to lead the operational & administration requirements of the Canberra studio.

We are currently searching for a Studio Coordinator/Executive Support role to lead the operational & administration requirements of the Canberra studio.
Reception Management
You will be the first point of contact for visitors and callers to the studio – playing a key role in creating a positive experience for our clients and partners.
- First point of contact for clients, visitors to the studio
- Manage all incoming calls and enquiries
- Manage external supplier relationships
General Administration
You will take charge of the smooth running of administrative processes, big and small, in the studio – enabling the larger team to focus on driving the business
- Assist with coordinating internal and external meetings
- Book travel, as required, national and international
- Create and modify documents using Microsoft Office, Excel
- General administrative duties, including but not limited to – staff expense claims, professional registration management, binding &, scanning, mail distribution, credit card reconciliation, maintenance of Canberra intranet page.
Studio & Facilities Management
You will play a key role in keeping studio spaces and facilities inviting and functional for studio members and visitors alike, creating a conducive environment for work and discussions to take place effectively
- Facilities management for the Canberra studio tenancy
- General oversight of studio facilities – kitchens, bathrooms, meeting spaces
- Manage conference room requirements, including catering and AV equipment
- Ordering – kitchen, stationery and other supplies as required
- Manage cleaning contract and services
Executive Support
You will be the right-hand person to the management team –
- Diary and email management for Directors, as required
- Prepare and organise documents, presentations, and reports for executive meetings, as required.
Experience:
- Minimum 5 years’ experience in a similar role
- Strong organisational and time-management skills with the ability to multitask and prioritise effectively
- Ability to handle confidential information with professionalism and discretion.
- A proactive and positive attitude with a strong sense of initiative.
- Proficiency with Microsoft Office suite
- Professional presentation & a positive attitude
- Strong verbal and written communication skills
- Strong attention to detail
- Demonstrated ability to work autonomously and collaborate as part of a team
